OFFICIAL NOTICE OF ANNUAL MEETING AND ELECTION AT THE SUMMERFIELD AT HOLTSVILLE HOMEOWNERS ASSOCIATION, INC.

Dear Homeowner,

On Wednesday, December 9, 2020, the Summerfield at Holtsville Homeowners Association, Inc. will hold its Annual Meeting and Election.

Due to COVID-19, the Annual Meeting and Election will be held virtually, beginning at 7:30 pm.

This year, since we must abide by SCDHS and CDC guidelines, we are having electronic voting as well as mail in proxy voting.

Instructions for attendance to our Annual Meeting: on Wednesday, December 9, 2020 at 7:30 P.M. are as follows:

There are three (3) positions on the Board of Directors which are up for election, each for a two (2) year term.

In order for this to be an official election, a quorum of homeowners (51%) must be represented by proxy, one (1) vote per home or an electronic vote. You are urged to vote! You may also submit a proxy to The Summerfield at Holstville HOA, Inc. by mail via the enclosed envelope. Proxies sent to Summerfield HOA must be received by Wednesday, December 9, 2020 by 5:00 p.m. to ensure they are included in the voting.

Instructions for Electronic Voting:

You will receive an email on November 11, 2020 at 5:00 P.M. from your property manager with your invitation to vote in the Summerfield Board of Directors Election.

If you do not receive an email, please call your property manager at the clubhouse 631-207-2475.

We must receive your vote by Wednesday December 9, 2020 by 5:00 P.M., for your vote to be recorded.

In the body of the email, your login information will appear. Your voter ID is unique to your address and your voter key is auto generated. Click on the blue ribbon that states “click here to vote”, you will now be redirected to your ballot. You will then see your list of candidates, along with their resume for your review. You must cast al least one vote, even if it is to abstain, so we may reach a quorum.

The Order of Business for this meeting will be as follows:

Call to order and roll call

Proof of Notice (typically waived)

Minutes of previous Annual Meeting (typically waived)

Reports of Officers (typically waived)

Election of Inspectors of Election

Election of Directors (3)

Election results

Adjournment.

PLEASE BE ADVISED THAT IF A QUORUM OF 51% IS NOT REACHED A NEW MAILING WILL HAVE TO BE SENT OUT AT GREAT EXPENSE TO THE COMMUNITY.
